Position Summary
Review and approve daily invoice and/or expense reports for processing and payment. Set up new vendors for payment. Process daily check and ACH payment runs. Provide direct support in all areas of the Accounts Payable function.
Essential Duties and Responsibilities
  • Monitor, review and approve invoice and expense report submissions to AP for payment including manager approvals, payment amounts and payee’s names, GL coding and tax accrual review for IRS 1099 and use tax reporting to applicable states.
  • Process daily check batches for checks and ACH payments of vendor invoices and employee expense reports.
  • Update vendor master for new payees ensuring the validity of new vendors via W-9 receipt and manager approval while following the bank’s internal controls.
  • Respond to vendor inquiries with regard to outstanding invoices or lost and missing payments.
  • Handle internal inquiries regarding the submission of employee expense reports.
  • Participate in reconciling vendor information for annual 1099 to the IRS.
  • Reconcile and file use tax payments to applicable states.
  • Ensure all legal obligations of the corporation are processed and submitted timely.
  • Ensures all departmental documents and activities are performed in compliance with applicable laws, regulations, policies and procedures as applicable to this position, including completion of required compliance and other related training.
  • Performs other duties and responsibilities as assigned.

  • Education and/or Experience
    • HS Diploma/GED
    • 1-3 years’ clerical or accounting experience required
  • Computer Skills
    • MS Office programs
  • Certificates, Licenses, Registrations
  • Other Qualifications (including physical requirements)
