Job Description

Overview:

The Administrative Assistant, reports to the Vice President – Residential Services and the Director he/she provides a wide range of administrative support including management of the VP »s calendar, scheduling meetings, coordinating meeting logistics, researching and preparing materials, and serving as a key point of contact for the department, and staff, and other constituents in a professional, courteous and helpful manner. Connects internally with other departments within the organization to collect and prepare data and support the functions of the residential programs. Prepares a wide variety of correspondence and reports; drafts memos/letters and email in response to routine questions. The Administrative Assistant will also provide administrative support to the Residential Treatment Center and Transitional Independent Living Program as needed.

Responsibilities:

Essential Functions:
  • Coordination and reporting of residential census reports (internal and LEWIS).
  • Work with support departments throughout the organization:
  • Also responsible for monitoring progress with all maintenance requests for the program.Managing progress with IT issues – ensuring that tickets are processed and closed
  • Working with the Administrative Department to reconcile all the vehicle violations
  • Requests supplies for the Administrative and Social Services Staff
  • Work with Human Resources/Intake Dept/Finance Dept when necessary
  • Coordinate different program functions and events.
  • Takes staff meeting minutes (including Admin Meetings and Manager’s Meetings) and maintenance of staff meeting minutes and logs
  • Enter, review and resolve online critical incident tickets.
  • Manage data for Performance Effectiveness Indicators
  • Completes bi-weekly timecards through e-time.
  • Scheduling Family Team Conferences as requested by the social workers
  • Responsible for the maintenance of the residential case records (including creating new records, filing and closing out closed cases).
  • Maintain cottage list, OOP/AWOL stats.
  • Serve as a back up for the Residential Services Coordinator
  • Provide front desk coverage as assigned.
  • Other administrative duties as assigned.

Qualifications:

Supervisory Responsibility:
The Administrative Assistant reports directly to the VP and Director. This is not a supervisor position.

Work Environment:
This is an in-person/hybrid position. The Administrative Assistant will be primarily located at the Yonkers campus. The position will also require some travel to the other residential programs in the Bronx, Brooklyn or Yonkers.

Physical Demands:
The Administrative Assistant must be able to pass the course and perform all functions as outlined in Therapeutic Crisis Intervention

Position Type/Expected Hours of Work:
Monday through Friday, 9:00 am to 5:00 pm. Occasional night and evening hours to support special events in the programs.

Required Education and Experience:
Associates Degree Required, Bachelor’s Degree Preferred
At least 2 years of administrative experience
Working Knowledge of Microsoft Office required.
