Job description
This is a frontline AO post within Applications Management, Regulatory Affairs in the Authorisations Division. The Authorisations Division is headed by the deputy CEO.
The job holder is responsible for overseeing the progression of application procedures subject to published standards targets for licensing work, as set out in the VMD Business Plan, and meeting / contributing to objectives set out in the Authorisations Work Plan. The job holder is a primary contact for members of the pharmaceutical industry, and involves communicating with internal assessors, other global country national regulatory body representatives and the pharmaceutical industry.
Person specification
This is a busy role and will require an individual with the ability to problem solve, to prioritise and organise themselves and the work of their team. It is an ever changing environment and it is essential that the job holder can think on their feet and rise to challenges quickly and effectively.
Duties will include:
- To process various applications in accordance with guidance documents that form part of the VMD’s quality management system to ensure that targets are met; examples of applications dealt with by the team include new, variation and renewal applications on Marketing Authorisations, Batch Release and Animal Test Certificates.
- Responsible for checking accuracy and preparing official documentation that is sent to the company, following the conclusion of an application procedure.
- To deal with general telephone and email queries in accordance with the VMD Customer Service Charter.
- To contribute to the maintenance of the quality management system within the team.
- To contribute, where necessary, to the team achieving its targets and objectives as a whole.
- Generation of reports and analysis of data from IT systems.
- Ad-hoc tasks specific to the role undertaken, which may include compiling figures for management, attending meetings to take notes, preparing reports for publication online and assisting with project work.
Experience
We require someone that is/has:
- Experience of working under pressure, within a target driven environment.
- Experience in authorisation procedures for veterinary medicinal products or can demonstrate the ability to develop this understanding quickly.
- Fluent in English language (spoken and written)
- Competent in the use of Microsoft Word, Excel and Outlook.
- A good level of numeracy.

Selection process details
Application Process
As part of the application process, you will be asked to complete a CV and Personal Statement, and Behaviour Statements. The CV will ask for your job history, qualifications and past skills and experience.
Your Personal Statement should be no more than 500 words and should outline how your skills and experience are relevant to the role.
When giving examples of Behaviours please use the Situation, Task, Action, Result (STAR) format.
Sift
Should a large number of applications be received, an initial sift may be conducted using the Personal Statement. Candidates who pass the initial sift may be progressed to a full sift, or progressed straight to assessment/interview.
Interview
If successful at application stage, you will be invited to interview where you will be assessed on Behaviours, Experience, and Strengths.

The sift will be conducted week commencing 26th December 2022
Interviews are currently scheduled to take place by MS Teams week commencing 16th January 2023

Location
Please be aware that this role(s) will be contractually based in a Defra group workplace/office. The successful candidate is required to carry out all their duties from a UK location, and cannot do so from an overseas location at any time.
Reserve List
A reserve list may be held for a period of 12 months from which further appointments can be made.
Near miss
Candidates who are judged to be a near miss at interview may be considered for other positions in Defra which may be at a lower grade but have a potential skills match.
Salary
New entrants are expected to start on the minimum of the pay band.
Existing Civil Servants moving on level transfer will retain their current salary or move onto the pay range minimum, whichever is the higher. Staff moving on promotion will have their pay increased by 10% or move onto the pay range minimum, whichever is the higher. As a general rule allowances and supplements will not be recognised
