Job Title: Automotive Title Clerk
Department: Accounting
Reports to: Comptroller/CFO
Job Status: Full-time/Non-Exempt
Position Summary:
Primary function of this position is to process vehicle sales. The job includes verifying costs for the accounting department and handling the legal transfer of documents for the Department of Motor Vehicles.
Essential Functions:
- Accurately process incoming titles from the dealerships in a timely manner.
- Receive all processed title work for vehicles purchased and sold.
- Examine vehicle title for accuracy and conformity to specified requirements. Verify acceptance of the title in the state for which it is filed. Confirm accurate title VIN number, odometer reading, releases of liens, and that titles contain no alterations.
- Resolve titling issues through interaction with customers, dealers, and regulatory agencies.
- Maintain knowledge of current DMV laws and regulations as they relate to vehicle titles and interpret titling regulations in each state for which vehicles are processed.
- Follow up on customer payoffs.
- Follow up on FP titles that have not been received.
- Scan and send title documents to title agency.
- Apply for duplicate titles and ELTs.
- Answer customer inquiries or concerns regarding titles.
- Process all title work, including out of state titles.
- Resolve problems and issues concerning titles, odometer discrepancies, power of attorneys, lien corrections etc.
- Process and verify financial and legal documents of vehicles to finalize sales deals.
- Prepare and process vehicle title and tax documents.
- Conduct periodic training sessions for F&I managers and sales personnel regarding title regulations and procedures
- Ensure compliance with state, federal and local law in processing titles.
- Issue tag refunds and clean tag schedules
- Maintain titles and MSO?s for inventory.
- Maintain metal plates and temporary tags inventory
- Process FedEx envelopes with tags to customers in and out of state.
- Order dealer tags for all departments and keep tag assignment log/spreadsheet up to date.
