THE POSITION

DESCRIPTION OF WORK

Our main objective is to serve the public and aid them in applying for and receiving birth and death certificates maintained in the state of Pennsylvania.

You will screen applicants for valid identification and eligibility, accept or reject applications received both in person and by mail, and register payment; type information from applications into the vital statistics system, review and compare information on the record against information on the application for accuracy and completeness, update as needed, and determine eligibility and reject as needed. You will print certificates as requested and utilize various computer applications and search methods for locating birth and death records; advise applicants of correction procedures; prepare accurate daily production reports; utilize various equipment (such as copier, scanner, and desktop computer) to perform daily job duties.

As a Clerical Assistant 3, you will use communication and problem-solving skills to help customers in a timely and efficient manner; de-escalate situations when a consumer becomes impatient or angry about access to records or certificates or wait times; make recommendations to enhance existing operational procedures or policies for conduciveness to customer service as well as effectiveness, efficiency, safety, and security.

Work Schedule and Additional Information:

  • Full-time employment.
  • Work hours are 8:00am to 4:30pm, Monday – Friday, with 1-hour lunch.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • One year as a Clerical Assistant 2 (commonwealth title); or
  • One year of moderately complex clerical experience; or
  • An equivalent combination of experience and training.

Necessary Special Requirement:

  • This position requires keyboarding skills to meet standards for speed and accuracy.
