Job Description
Southern Virginia Mental Health Institute (SVMHI) is a 72-bed Joint Commission accredited state psychiatric facility located in Danville, VA. The hospital serves individuals who are civilly committed and in need of treatment, and/or individuals involved in the criminal justice system who need treatment and/or pre-trial evaluation.
The Medical Records Department at SVMHI is seeking an energetic, self-motivated, and problem-solving Hearings Coordinator. This position provides document verification, completion and coordination for commitment hearings, recommitment hearings, mandatory outpatient petitions and judicial authorization for treatment hearings to ensure proceedings are scheduled and documents are prepared according to Code of Virginia Statutes. This person must also interpret other Court Orders authorizing hospitalization of individuals to ensure the correct and current Legal Status is reflected in the medical records according to CMS regulations for Psychiatric Hospitals. This position also serves as a “Clerk of Court” by being available to assist the Special Justice and other involved parties at any time, as related to requirements for the hearings; and by participating in the Hearings (specified above) held at the facility, to ensure presence of individuals at their hearings and provide any other assistance needed for the hearings process. This position also provides back-up for Switchboard/ Receptionist, and other duties assigned to the HIM Department in the absence of the primary staff person or other primary back-ups.
This position will require working a flexible schedule to include occasional holidays and weekend hours.

Proficient in the use of Microsoft Office applications (Word and Excel) and general office equipment to include computers, printers, copier and fax machines, and a multi-line communication system is essential.
The ability to organize work and manage a high volume workload to accurately complete tasks in a timely manner and meet necessary deadlines is essential.
Candidate must be skilled in communicating with customers, employees, and other individuals to answer questions, disseminate or explain information.
Notary Public certification or ability to obtain the same within six months of hire is required.
A fingerprint-based criminal history check and reference checks are required for the selected candidate for this position.
