Job overview

An exciting opportunity has arisen for a Patient Pathway Administrator to join the Clinical Psychology Department, working as part of the team across the hospital sites. The role will involve providing high quality administration and clerical support and you will need to use your initiative and skills to develop processes and ensure the effective provision of a quality service.

You will have excellent written and verbal communication skills and knowledge of hospital computer systems i.e. Medway would be advantageous as well as excellent problem solving skills. You will be a team player and also be able to work on your own initiative to meet agreed plans and deadlines.

Main duties of the job

As a PPA within the Clinical Psychology team you will be responsible for monitoring patient pathways, including results and letters and ensuring they are reviewed in a timely manner. The post holder will work closely with the current Administration and Clinical teams to help ensure local and national targets are met.

Detailed job description and main responsibilities

Maintain databases for patient results and clinics

Work closely with Administration and Clinical team to ensure letters are authorised in a timely manner.

Responsible for the production of discharge summaries, clinical papers and material for publication from either audio or copy typing.

Use judgement and initiative to prioritise the importance/urgency of particular requests within defined guidelines

Undertake daily peer audit of clinical correspondence to ensure a high standard of accuracy and quality of work.

Ability to exchange sensitive or contentious information with diplomacy and in a confidential manner.

Liaising with team re. Appointments and necessary important clinical information to ensure patients are seen on their pathway without delay.

To undertake other specialty specific duties in accordance with Trust policies and procedures to facilitate the patient pathway

Adapt a flexible attitude to meet the needs of the service, taking into consideration each department’s unique specialty and the subsequent requirements of such specialist services.

Promote an open friendly working environment

Adhere to Trust policies and procedures relevant to your position.

Training & Qualifications

Essential criteria

  • 5 GCSE’s or equivalent C or above – must include English

Desirable criteria

  • NVQ Level 3 in business or related subject

Experience & Communication

Essential criteria

  • Experience in using Microsoft Office and Outlook
  • Demonstrates an understanding of patient / client confidentiality
  • Experience in completing letters, forms, reports and tables using computerised technology
  • Previous experience within a similar admin role
  • Ability to clearly and accurately convey information

Desirable criteria

  • Previous NHS Experience
  • Knowledge of 18 week and Medical Terminology

Analytical & Judgement

  • Able to use judgement to make decisions in order to solve problems / enquiries
  • Able to complete tasks using own initiative
  • Remains calm and co-operative under pressure or in difficult and uncertain situations

Salary: The quoted salary will be on a pro rata basis for part time workers.

  • Transfer of information: If I have previous NHS service – I consent to the transfer of my Electronic Staff Record (ESR) data between this and other NHS Trusts. I also consent to the Occupational Health Department confidentially accessing my occupational health records from my current or previous employer in order to check the status of my vaccinations, immunisations s and screening tests as relevant to the post. I understand this is an automated process and the information will only be used for these purposes prior to me taking up the position at NUH.
  • Disclosure and Barring Service: Your post maybe subject to a DBS check which incur a cost dependent on the level of check required (£41.90 for enhanced and £21.90 for standard). I agree to reimburse Nottingham University Hospitals NHS Trust the cost of a Disclosure and Barring Service (DBS) check if it is required (by deduction from first month’s pay). Should I decide to withdraw from my job offer, I agree to reimburse Nottingham University Hospitals NHS Trust the cost of the DBS check undertaken by cheque or other agreed method.
