Job Description

- Coordinate program scheduling and implementation
- Arrange logistics (reserve space, monitor registration/applications, assist in recruitment, and make travel arrangements for speakers/presenters, outreach to audiences, track program completion, manage catering)
- Ensure all programs run efficiently and professionally, including managing virtual platforms and providing day of support for ATOP events and programs
- Respond to and properly route inquiries, manage databases, manage associated web sites
- Collect pre-/post-program evaluation data
- Schedule interviews, committee/project/team meetings; compile meeting minutes
- Assemble application, training, promotional and/or presentation materials
- Liaise with and/or outreach to stakeholders and partners (both internal and external); maintain contact lists
- Process travel/reimbursements, honoraria, monitor budgets
- Oversee day-to-day operations and work product
- Monitor and coordinate program operations, resources and projects including develop project plans and facilitate the resolution of issues.
- Enact policies and procedures, and maintain related documentation and databases.
- Collaborate across teams and serve as the primary liaison for the program.
- Oversee and participate in team, project and program meetings.
- Manage and maintain operating budget, supplies and resources.
- Maintain program metrics and related tools and regularly reports results.
- Monitor and support related finance, accounting and billing functions.
- Coordinate information collection, compilation and dissemination as required.
- Provide advanced administrative support as needed.
- Perform other duties and projects as required.
- Three (3) years of training related experience.
- One (1) year of experience in a laboratory, clinical or research related environment.
- Intermediate proficiency with office software (Microsoft Office) including email, databases, web research and ability to trouble shoot computer-related problems as well as other administrative experience and competence, virtual platforms
