DEPARTMENT OVERVIEW

Originally founded in 1997, Baskin Engineering is the first professional school at UC Santa Cruz. Over the past 25 years, Baskin Engineering has become a unique 21st century school of engineering and technology, characterized by evolutionary growth fueled by on-going research opportunities that open new areas of intellectual inquiry. Baskin Engineering has grown to include six academic departments, a variety of research centers and institutes, and has ambitious plans for further programmatic growth. The focus of Baskin Engineering educational programming is to instill strong basic knowledge for sound practice in science and ethical engineering for the well-being of society, and its diverse curricula facilitate creative thinking and prepare students for productive and rewarding careers. Baskin Engineering is focused on building collaborative connections and expanding instruction and research activities for faculty and students at UC Santa Cruz, both at its Santa Cruz campus and at its campus in Silicon Valley, the international center of technological innovation. In particular, Baskin Engineering hosts the Cyber-Physical Systems Research Center (CPSRC), whose mission is to promote and facilitate collaborative research activities, within UCSC as well as academic and industrial partners. In addition, as part of the Center for Information Technology Research in the Interest of Society and the Banatao Institute (CITRIS), the CITRIS Aviation initiative, which is led by Baskin Engineering faculty, was created to support interdisciplinary development of cutting-edge technologies and applications to help improve environmental monitoring, urban air mobility, wildfire response, security policy, and more. The initiative integrates faculty and staff expertise, research efforts, and educational programs and leverages aviation assets across the four CITRIS campuses at Berkeley, Davis, Merced and Santa Cruz.

JOB SUMMARY

The Program Coordinator position pertains to performing, coordinating, and managing administrative services for research centers and activities, including the aviation initiative for Center for Information Technology Research in the Interest of Society and the Banatao Institute (CITRIS) with headquarters at UC Berkeley and activities within the Cyber-Physical Systems Research Center (CPSRC) at UC Santa Cruz. The duties include managing general operations, including long and short range strategic planning in determining the mission and directing all activities.

JOB DUTIES

60% – General Administration Related to Projects and Activities

  • Provide general administrative support for the program as necessary. Coordinate meetings, workshops, conference calls, and appointments related to projects and activities. Assist in logistics, travel, and agendas involved in writing collaborative grant proposals and reports.
  • Prepare executable plans to respond to solicitations. Draft outline of proposal plan using input from researchers.
  • Help identify research team and industry partners.
  • Assist in processing, editing, proofreading, and submission of drafts of proposals, reports, manuscripts, and news stories.

30% – Responsibilities Related to Expansion and Improvement of Projects and Activities

  • Assist in identifying projects and research opportunities for individuals as well as small and large teams.
  • Publicize accomplishments.
  • Work with leadership to help expand membership and to form partnerships with other organizations and centers.
  • Generate reports for projects and activities, and the entire operation. Brainstorm with leadership on how to improve processes.

10% – Other Duties as Needed and Required

  • Help train administrative assistants and student workers supporting activities and projects.
  • Work with administrative assistants and student workers to issue purchase orders and process reimbursements.
  • Interface with administrative assistants and student workers to update web pages (events, news, publications, projects) on a regular basis.
  • Interface with events coordinators and student workers carrying out events.
  • Assist with other academic and/or research related tasks as necessary.

REQUIRED QUALIFICATIONS

  • Bachelor »s degree in related area and / or equivalent experience / training.
  • Thorough knowledge of administrative procedures and processes.
  • Working knowledge of common organization-specific and other computer application programs such as Microsoft Office Suite, Google Drive, Google Docs, Google Slides, Google Sheets, LaTeX/Overleaf, Calendar systems, Zoom, and Apple Keynote.
  • Solid verbal communication skills.
  • Solid written communication skills.
  • Solid critical thinking skills
  • Solid organizational skills and ability to multi-task with demanding time frames.
  • Ability to use discretion and maintain confidentiality.
  • Ability to train workers and students on campus processes.
  • Excellent interpersonal skills sufficient to interact with a diverse group of people and co-workers.

PREFERRED QUALIFICATIONS

  • Related experience in continuing education or higher education.
  • Demonstrated ability in providing administrative support within a medium to large organization.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs, and be able to fulfill requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
  • Ability to maintain appearance and conduct suitable for working in a professional setting.
