  • Admissions Assistant Personnel Area:

Duke Kunshan University (DKU) based in Kunshan, China is a partnership of Duke University and Wuhan University. DKU welcomed its inaugural undergraduate class in 2018. With locations both at DKU and Duke, the Office of International Enrollment Management (IEM) is responsible for the recruitment, admission, and enrollment of all international (non-Chinese) undergraduate students. This position is based at Duke University in Durham, NC. General Purpose: Perform duties related to the Office of International Enrollment, Duke Kunshan University. This position is primarily responsible for coordinating a variety of administrative, operational, and financial duties for IEM, with wide latitude for exercising discretion and judgment. Effective communication skills, writing abilities, and computer experience are required.

Supervisor:

This position reports to the Director of Enrollment Services Essential Duties include:

  • Managing key data in Slate (our customer relationship management database) which includes entering/updating information on prospects, applicants, and organizations, processing application materials, maintaining various queries utilized by the team, and providing basic reports and statistics, recurring and as needed by the team. In addition, manage the internal Slate user guide and serve as a resource for the team. 40%
  • Managing the procurement/reimbursement process including the identification of qualified vendors, preparing proper documentation, and monitoring payments using the appropriate financial system. Maintaining records of departmental budget expenditures, informing appropriate staff members of the financial status of various projects and/or in matters of significant financial impact. As time permits, assist team with expense reports for reimbursement following policies and procedures. 15%
  • Represent and promote the university by providing exceptional customer service for office phone and email inquiries. 10%
  • Coordinating all daily and large-scale mailings, including shipments for recruitment activities, prospect outreach, and enrollment efforts. 10%
  • Ordering and maintaining sufficient inventory of office supplies, equipment, and marketing/recruitment supplies. 10%
  • Providing program management and coordinating travel arrangements for special events, as needed. 5%
  • Supporting the Dean with scheduling of meetings/events, filing expense reports, and booking travel, as needed. 5%
  • Taking meeting notes (i.e., weekly staff meetings) and performing other related duties incidental to the work. 5%

Oversee maintenance of the IEM office at 410 Swift Ave. as a hybrid meeting and workspace. Ensure that interior and exterior building services are performed. 5%

Minimum Qualifications

Education

Bachelor »s Degree preferred. In lieu of a degree, four years of directly related full-time experience, or a combination of higher education and experience totaling four full-time years may be considered.

Required Skills

Work generally requires two years of related secretarial/clerical experience to acquire skills necessary to administer office functions related to office management, communications, and budgetary/accounting activities. Must be very comfortable in a highly computerized environment, including databases (e.g. SLATE), AV equipment, spreadsheets, word processing, mail merge, web-based applications, and highly skilled in managing conferencing systems (i.e., Zoom, Teams, or other virtual platforms), and email. Must be detail-oriented in order to effectively manage the data at various times during the admissions cycle.

Preferred Skills

This position is best filled by a friendly professional with advanced clerical and data entry skills. The ideal candidate will also possess well-developed communication and organizational skills in order to respond with tact and diplomacy to a high volume of inquiries from applicants and stakeholders across the globe. Work experience in a College or University setting; admissions/enrollment office; or global work environment would be a plus. Experience with a CRM system, preferably SLATE, is also a plus.

Special Notes:

Minimum Qualifications

Education

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience

Work generally requires four years of related secretarial/clerical OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
