Brief description of the role
The Weekend Concierge is responsible and accountable for the efficient management of the on-site operation and resources, they will assist the Building Manager and be responsible in their absence. This role is essential in driving up an exceptional level of customer service to create a new market leading 5-star integrated property service. The job holder will be passionate about service delivery and ensure all activity is focused on adding value to our customer experience. The role will involve extensive customer interactions working to continually evolve and improve our service in line with our customers » expectations. Responsible for supporting the Building Manager (Senior Management where applicable) to ensure all Health and Safety Compliance processes and procedures are implemented in line with Company Policy. The Weekend Concierge will be based in the Commercial Front Desk and will be the first point of contact for all visitors.
Education and Experience
- Effective communicator
- Well presented
- Concierge experience required (not porter or caretaker experience)
- Residential or hospitality background
- Knowledge of general H&S
- Experience of managing a team desirable
- Willing to work towards obtaining IRPM foundation qualification
- Experience in writing reports is desired
- Experience with function testing and Building checks
Duties & Responsibilities:
Front Desk Duties
- Welcoming visitors to the building in a courteous and helpful manner.
- Taking inbound phone calls, redirecting or taking messages as required.
- Taking delivery of parcels and distributing to leaseholders.
- Responding to leaseholders queries promptly by telephone and email.
- To ensure front desk are manned at all times
- Maintaining logbook of current and past contractors and onsite visitors.
- Key management including signing out of key cards to contractors and ensuring their prompt return
- Manage the concierge desk aiding the leaseholders/ residents politely.
- Communicate with leaseholders and managing agents in an attentive manner.
- Courteous and helpful to residents, clients, guests, suppliers, tradesmen, and the general public.
- Always present yourself immaculately and act accordingly.
- Conduct daily site inspections.
- Reporting any issues to the managing agents, logging these issues and communicating said issues to leaseholders/residents.
Site Management
- Ensuring the development is walked and visually inspected on a daily basis and to take responsibility for the presentation, cleanliness and safety of all the public areas.
- Ensuring the development is formally inspected and reported on utilising site inspection software.
- Daily / Weekly feedback discussion on site issues with the Building Manager.
- Support the Building Manager in the Management of the site petty cash expenditure on site and complete summary expenditure forms to submit to Purchase Ledger Department.
- To ensure all issues and repair works are captured during daily walk arounds
- Repair works to be followed through and managed in detail
- The progress of all repairs is to be communicated to residents as and when progress is made
- To ensure the building frontage and all communal areas are kept clean and tidy.
- Ensure the office area is to a presentable standard.
- Undertake light repairs and general maintenance to communal areas to exacting standards as directed by Building Manager, to deliver value for money service versus third party contractors and retaining the desired aesthetics on site.
- Ensure the front desk is managed to a high standard whilst overseeing the day to day running and working alongside the site team
- Maintain all equipment for your job role in operable and safe condition –ensuring its security
- Ensure replacement of all defective light bulbs, switches, tubes, etc and carry out any minor repairs possible.
- Oversee the cleaner’s performance and instruct deep cleans and additional cleaning as and where required
Record keeping
- To ensure all concierge record keeping is maintained in line with site requirements
- Log of ongoing works and progress made
- Log of reports provided by Contractors
- Management of the Infringement Log
- Management of Concierge inbox
- Record of invoices submitted to site
- Maintain accurate key records and ensure the relevant key management procedures are followed through
Staff Management
- Support the Building Manager with the Management and development of site staff in the site-based team, ensuring that they are recruited, motivated and trained to achieve the necessary levels of skills and that they operate to the appropriate service standards and procedures
- Arranging rosters/holiday cover for site team an in conjunction with the Senior Estates Manager
- Delegate responsibility for non-urgent/specific tasks to site cleaner caretakers.
- Onsite training and induction for new staff
- Ensure relevant and appropriate equipment is available for use, is maintained and replaced as necessary in conjunction with the caretakers and cleaners where applicable
- Carry out regular inspections on the performance of the cleaning staff and caretakers.
- Maintain an accurate schedule for the team to follow to ensure all tasks are carried out.
Security
- Report any faults to the access/fire/CCTV systems to the appropriate contractors.
- Issue Incident/Near Miss and Accident reports within 24 hours of an incident occurring
- Be aware and responsible for all visitors and contractors on site
- Report any health & safety, communal/building defect from site inspections.
- Report any damage to the building, or damage to residents’ possessions in public areas
- Being familiar with liaising with the police and adhering to the relevant process in place
- Complete daily Patrols alongside recorded monthly site inspections of all areas
Management of Contractors
- Supervision with specific reference to quality control and cost control
- To adhere to Contractor Control processes and procedures at all times
- Arrange and schedule required works
- Review of RAMs and paperwork
- Signing Permits and authorising works
- Follow up on reports issued and the absence of report
- Challenge quality of works
M & E Services
- To refer to the Building Manager any omissions relating to the M&E documentation or O&M manuals.
- To identify any specific training issues that may be required from the manuals and liaise with the Senior Estates Manager
- To be aware of approved company policy in relation to lift emergencies, specifically the release of trapped passengers.
- To ensure that you know all of the operating procedures for all technical/IT systems on the site.
- Actively seek out all communal light timers and ensure timer programs are set to save electricity.
- To be fully conversant with all of the site manuals, operating procedures, and operation of the communal M&E items
Site signage

- Ensure all site signage is in good condition with the required frames and sign holders in place
Communication
- Responsible for ensuring efficient and suitable communication is maintained with the Leaseholders & Tenants and external authorities.
- Dealing efficiently and effectively with all Leaseholder and Tenants enquiries concerning all aspects of the management of the development.
- Updating signage and informing residents of the next steps
- To assess, review and communicate with the Senior Estates Manager all relevant day to day or non-regular items relating to the management of the site
- To seek guidance and support from SSEM in terms of contractor default and breech of lease.
- To advise SSEM of any item or matter which may affect the management of the development, with specific reference to insurable incidents, disclaimer or damage or loss suffered by a resident or a visitor to site
Liaison with Building Manager
- To assess, review and communicate with the Senior Estates Manager all relevant day to day or non-regular items relating to the management of the site
- To seek guidance and support from the Senior Estates Manager in terms of contractor default and breech of lease.
- in conjunction with the Senior Estates Manager, ensuring that appropriate systems and procedures are put in place, properly monitored and managed for ensuring that all assets are fully compliant in terms of building services and other Statutory testing.
- To advise of any item or matter which may affect the management of the development, with specific reference to insurable incidents, disclaimer or damage or loss suffered by a resident or a visitor to site
- Work with the Building Manager to assess Health and Safety Plans, Risk Assessments, Method Statements, Safety Policies and all other relevant documents from those contracted to undertake work on site.
- Work closely with the Building Manager to ensure consistency of practice and standards.
- Complete on a monthly « Planogram » of service standards to be discussed with the Development Manager on their monthly visit to site.
- To contribute (and if required attend) to internal reporting /meetings on performance and other issues in line with the KPI »s
Health and Safety
- To maintain full compliance with the company Health and Safety Policy.
- Follow company procedure and guidelines for Health & Safety regarding compliance
- Ensure safe working environment and site safety at all times
- Report any breaches of H&S to Line Management
- Report all accidents and near misses in accordance with the policy
- Ensure that any actions identified through Health and Safety Audits are carried out and reported back to head office
- Ensure that yourself and all Cleaning/ Caretaking staff have the required PPE to carry out their duties safely
- Ensure that all tasks that are carried out have the relevant risk assessment and report any issues to the Building Manager
- Ensure that all health and safety checks are being carried out
IT
- To be fully conversant with and adhere to the company IT policy.
- Understand IT procedures in relation to the post of Building Manager.
- Carry out any other reasonable IT related tasks.
Other duties
To carry out any other reasonable requests made by the Building Manager and Senior Managers
