We are hiring for positions under the Global Health Training, Advisory, Support Contract (GHTASC) in support of the U.S. Agency for International Development (USAID) Bureau for Global Health (GH). Position Summary
Responsibilities:
- Maintains and coordinates NTD team calendars and meetings – including reserving conference rooms, arranging conference calls, compiling documents for meetings, recording meeting minutes and producing clear, written summaries
- Supports managers and technical staff in project monitoring, ensuring projects comply with award and USAID requirements and regulations and that schedules and deadlines are met.
- Assists with planning and coordinating logistics of events – such as staff retreats, webinars, partner meetings
- Supports, and in some cases, leads the preparation of various program documents and correspondence such as project authorization documents, action memos, amendments, and waivers, ensuring that all documentation is complete and in compliance with USAID rules, regulations, and standards.
- Assists with management and maintenance of program and project files
- Maintains and provides assistance with administrative and financial tracking systems, and assists in the design and maintenance of spreadsheets and databases to support these systems.
- Assists in assembling internal and external briefings, publications, reports, and other ad hoc requests. Monitors financial status of awards, performing pipeline and burn rate analysis for NTD funded projects and determining quarterly accruals. Identify gap areas for follow-up with awardees.
- Backstops NTD Technical staff as needed.
- Tracks administrative and procurement actions, liaising with relevant bureaus to ensure procedural requirements are met and to coordinate timely approvals.
- Participates in and supports the work of technical evaluation committees for new procurement.
- Ensures that appropriate funding modifications are executed to meet project objectives, as directed by Team Lead.
- Assists in preparing and updating content for NTD webpage as necessary.
- Drafts program communications such as memoranda and letters seeking approval or requesting information relative to program matters.
- Collects and makes arrangements for distribution of material to the USAID missions, USAID/W offices, host country institutions, and cooperating agencies.
- Manage USAID NTD Mailbox and ensure timely response of inquiries.
Qualifications:
- Bachelor »s degree in a related field and a minimum of 1 years of relevant experience, Associate degree in related filed and 3 years relevant experience OR High School graduate and 5 years of relevant experience or equivalent combination of education and experience.
- Proficiency in the use of Google Product Suite (Google sites, Google Drive, etc.) and the Microsoft Office Suite. Experience in developing graphs and other visuals for PowerPoint slides as well as developing spreadsheets.
- Strong attention to detail and organizational skills.
- Sense of humor, flexibility, problem-solving skills, and ability to multi-task and work with rapidly changing requirements.
- Ability to work well as part of a team as well as independently.
- Demonstrated initiative and an eagerness to learn program management and technical skills.
- Interest in tropical diseases, infectious and community health desired.
- The candidate must have excellent, demonstrable oral and written skills in English.
- The candidate must have the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
- French language skills preferred.
- Excellent analytical skills and reasoning ability.
- Proficiency with basic financial management and budgeting concepts.
- Ability to apply concepts such as percentages, ratios, and proportions to reports and financial tracking systems, draw conclusions and develop forecasts.
- Excellent Excel skills.
- US citizenship or US permanent residency and ability to obtain and maintain Facility Access.
