Job Description

The PMA reports to the Lead PMA and works closely with Project Managers to ensure that projects are properly and profitably managed. Projects we are involved in range from thousands of pounds to millions. You will assist with reporting and managing project financials and following Company Procedures across a number of Disciplines within a Buildings & Places Business Line.

Your day to day :

Operations Support
Support Performance Managers to ensure all Tier 1 “high risk” reviews are completed on time
Supports PMs with Data Quality actions and reports back to Lead PMA and Operational Leadership
Proactively drive project billing and cash Performance
Supports team with timely and compliant approvals (Delegations of Authority) and associated working at risk set up (WaR)
Organising, documenting and attending Project Reviews, including mandatory Tier 1 quarterly reviews with full attendance (finance, commercial and operations) in accordance with internal polices and protocols
Helping team hit Data Quality Targets (DQI) – end dates, project reviews and forecasting

Reviews and Reporting
Supports the Performance Manager with the update of forward forecasting (R18)
Running Reports and interpreting data for PMs and the team in general
Generates and shares best practices/procedures

Project Life Cycle
Assist with project pipeline accuracy
Helping to set up new clients and suppliers
Assisting with project set up in APIC, AECOM’s project management system
Assisting with regular forecasts (Estimate at Completion – EAC) in APIC
Monitors adherence to processes and change management protocols regarding interface with operations / commercial / finance / legal teams, including obtaining permissions to work at risk etc.
Raising Invoices, making sure that all projects have a billing schedule and updating an UKI Unbilled Tracker
Debt Collection – checking client has received invoice after issue and assisting Credit Control to collect debts
Assist in documenting lessons learned following project close out including liaison with project Accountant
And any other duties.

Qualifications


Minimum Requirements :

  • Preferable to have experience working in administration, project administration and/or finance
  • Excellent written and verbal communication skills at all levels
  • Organisation skills to manage multiple requests and prioritise workload in a fast-paced environment
  • Ability to understand Procedures and implement change
  • Good analytical and problem solving skills essential;
  • Must be pro-active and demonstrate ability to see things through to the end;
  • Ability to manage details, but also see a bigger picture;
  • Ability to be resourceful, hands on and work both independently and as part of high-performing team
  • Works independently as well as part of a team; willingness to work with multiple different colleagues on a variety of initiatives;
  • Ability to take initiative and ownership. Self-motivated;

Preferred Qualifications :

  • Excellent ICT skills, particularly Excel and Outlook
  • Degree level and/or an accounting qualification is preferable, but not essential
  • Experience working with an ERP system (Salesforce, Oracle) is preferable but not essential
  • Good GCSE and/or A level or equivalents at both Maths and English
