The University of Washington »s Division of General Internal Medicine (GIM) is considered to be among the top five Divisions of General Internal Medicine in the nation. General Internal Medicine, established in 1985, has rapidly grown to be the largest Division in the UW Department of Medicine. The Division has a workforce of approximately 500, including nearly 400 faculty members who are known for their outstanding research, teaching and patient care. The Division conducts its activities at the UW Medical Center (UWMC), Harborview Medical Center (HMC), and the VA Puget Sound Health Care System (VAPSHCS), with research sites located at multiple sites across Seattle.

The Division of General Internal Medicine in the Department of Medicine has an outstanding opportunity for a full-time Program Coordinator to join their team.

DUTIES AND RESPONSIBILITIES

Support Research Activities:

  • Assist with preparation of grant and contract proposals: typing and proofing of application, internal routing of documents, preparing eGC1s, preparing forms for annual NIH RPPR reports, and downloading updates from PubMed to Dr. Dale’s NIHMS biography.
  • Assist in writing consent forms, protocols, human subjects applications and renewals (UW AND WIRB) and responses to queries. Maintain files and records of these activities.
  • Prepare CRBB applications for clinical studies, including Billing Grid, CRBB intake forms, requests for pricing, including TRU, if necessary. Prepare redcap amendments when necessary. Prepare ClinicalTrials.gov application when necessary. Compose FDA 1572 forms when necessary.
  • Work with laboratory staff and associates for on-line ordering of supplies and materials, payments to subjects. Maintain and update check log, recording checks received from sponsors and and transmittal of donations to Dr. Dale’s gift account.
  • Assist with budget reviews, preparation of financial data for grants and contracts, divisional and lab/office accounts.
  • Monitor study communications and follow-up within cooperation with study coordinator and sponsor/CRO, as necessary, for project completion or issue resolution.
  • Assist in writing, editing and submitting abstracts and manuscripts of publication.

    Correspondence

  • Schedule appointments and meetings including Clinic and TRU and Zoom contacts with research patients. Maintain daily/yearly calendar.
  • Monitor Dr. Dale’s incoming email, respond using independent judgment and discretion.
  • Handle telephone calls and voice mail messages with understanding of urgency.
  • Assist with maintaining timely correspondence.

    Schedule including Travel

  • Assist with travel arrangements and complete ARIBA on-line Travel Reimbursement.
  • Monitor incoming travel reimbursement checks and log in spreadsheet.
  • Cancel clinics as necessary for travel and outside activities.

    Other

  • Maintain/update Dr. Dale’s CV.
  • Deal effectively and politely with many constituencies, including patients, laboratory and Registry staff, faculty, professional colleagues, research associates, University departments/staff and others.

    MINIMUM REQUIREMENTS

    High school graduation or equivalent AND two years of experience in the program specialty OR equivalent education/experience.

    ADDITIONAL REQUIREMENTS

  • Excellent interpersonal and public relation skills.
  • Proven ability to function in a confidential, highly independent and responsible manner.
  • Excellent written and verbal communication skills.
  • Demonstrated typing ability with a focus on accuracy and the ability to do transcription, when necessary.
  • Attention to detail and accuracy.
  • Correct grammar and spelling.
  • Extensive computer experience using a PC (word processing, spreadsheet, email, and presentation software).
  • Experience and aptitude with Microsoft Windows, Microsoft Word, Excel and PowerPoint.

    DESIRED QUALIFICATIONS

  • Bachelor’s Degree and four years of office or administrative support experience
  • Experience in a university environment preferred.
